Tele2

Tele2 handles hundreds of thousands of documents on a daily basis. It is essential for the company to maintain control of the flow of information, particularly with a view to keeping costs down while living up to requirements for traceability. This is why Tele2 uses FormPipe Platina from FormPipe Software.

In tough competition with other systems, FormPipe Platina won the Tele2 contract. Work to implement the system started in January 2006, and today 2,000 employees at Tele2 and the company’s suppliers use FormPipe Platina in many parts of the world.

As one of the leading suppliers of telecoms solutions in Europe, Tele2 operates a comprehensive construction programme. Masts have to be set up, aerials positioned and cables buried – not just in Sweden, but in all countries where the company is active. This process involves the handling of hundreds of thousands of documents and orders.

Thanks to FormPipe Platina, the number of errors has dropped appreciably.

"We are very satisfied with the result. Within the construction sector alone, we have made great savings because mistakes have been minimised and because we have raised the efficiency of our processes. Our contractors are now working in FormPipe Platina, too, and their work has become much more efficient. One of the benefits here is that their services have become much less cost-intensive," says Lars Beck, Senior Business Analyst at Tele2.

"Keeping costs down was a key target with Platina, but it was not the only consideration. It is also essential to make sure that the right information reaches the right person. People must not receive too much information, nor too little. With Platina, we can precisely control which people have access to what information. In addition, the system makes it easy for us to see who has read the information, who has made changes to it and so on," continues Lars Beck.

Requirements on the company’s documentation and traceability have risen dramatically in recent years - as a consequence of the Enron scandal, for example. Breaches in areas such as traceability resulted in a new company management code, the Sarbanes-Oxley Act (SOX). In Europe, the corresponding code is often referred to as EuroSOX.

In the process to purchase a new system, Tele2 had to choose between a number of suppliers. However, the company required a system that could support SOX and ITH processes, and this was a requirement that Platina accommodated in full.

"The work to adapt Platina to our specific conditions went smoothly. Platina is a good distance ahead of all its competitors, particularly when you compare prices in relation to quality," says Lars Beck.

Tele2 uses Platina in several areas: for work order management, technical documentation, project documentation, user manuals, financial tasks, invoice filing and contracts, for example. In June 2008, Platina was fully implemented and the system now holds 600,000 documents.

Platina replaced a number of different systems for document and invoice management. Despite the fact that it was a demanding and comprehensive process, the implementation ran very smoothly. The project was actually run from start to finish by a consultant and a few partners.
